You keep the office running like a clock and the agency's numbers in order. You're the person who knows where everything is, who makes sure things don't fall through the cracks, and who maintains communication with external accounting, vendors, and employees on operational and administrative matters.

What you'll do

  • Manage day to day office operations (inventory, supplies, vendors, physical space).
  • Process incoming and outgoing invoices and maintain organized records for the external accountant or CPA.
  • Support payroll, benefits, and employee reimbursements.
  • Keep accounts receivable and accounts payable documentation up to date.
  • Coordinate logistics for client visits, internal events, and meetings.
  • Serve as point of contact for basic IT, insurance, and service vendor matters.

What we're looking for

  • 3+ years in an office manager, senior executive assistant, or administrative operations role.
  • Working knowledge of basic accounting (AR, AP, simple reconciliations, expense management).
  • Hands on experience with QuickBooks, Xero, or similar.
  • Bilingual (Spanish and English).
  • Organized, discreet, and proactive. You'll be handling sensitive information.

Nice to have

  • Experience in an agency, creative studio, or professional services firm.
  • Knowledge of SURI, Hacienda PR, Departamento del Trabajo, and local regulatory matters.
  • Familiarity with Google Workspace, Slack, Notion.

How to apply

Apply through this posting with your CV and portfolio, reel, or work samples when applicable. We are not looking for a perfect CV. We are looking for real craft, judgment, ownership, and the drive to play at another level.
